Administration Roles


In order that the group is efficiently and smoothly run, I have decided it may be helpful to divide up the most important roles amongst several people. If you would like to take on a role in the administration of "The NaNoWriMists 2012, please read the following role descriptions and fill out the application form below.

Please note: Many of these roles require a high level of commitment in terms of both time and effort. If you feel you would be better suited to a less demanding role, please check out "Help Needed! and "The NaNoWriMists Fundraising Forum to see what you can do.

Advertising Officer

This is possibly one of the most crucial roles in the build-up to NaNoWriMo. Without plenty of publicity, we can't attract new members or advertise the contest.

Level of Commitment

This is a role which is on-going, but particularly comes into force during September and October. A consistent and frequent commitment to this role would ensure the group received maximum publicity.

Responsibilities

*Bullet*Ensuring that the group always features on "The Shameless "Plug" Page
*Bullet*Ensuring that the contest always features on "Writing Contests @ Writing.Com!
*Bullet*Publising any other group-related items in the correct place
*Bullet*Preferably including a link to the group in all signatures

Username Clerk

Although this doesn't sound very important at first glance, it is vital that an accurate and up-to-date log of people's Writing.com and NaNoWriMo usernames is kept. This allows the Word Count Clerk to quickly and easily access word counts and therefore enables each member to receive their deserved bonuses.

Level of Commitment

This role becomes necessary during October and November. It is preferable for the list to be updated daily where possible; weekly would also be ideal. The importance of this role increases towards the end of November.

Resonsibilities

*Bullet*Monitoring forum posts for mention of NaNoWriMo usernames
*Bullet*Cross-referencing with group member list to ensure all names are included
*Bullet*Emailing members to ask for their username
*Bullet*Keeping "Invalid Item up-to-date and accurate

Write-a-Thon Coordinator

New for 2011, the Write-a-Thon coordinator will organise and supervise a series of write-offs within the group, keeping track of achievements and possibly awarding small prizes for outstanding progress.

Level of Commitment

Aside from preliminary planning and some organisation just prior to November, this role is predominantly active during November. A high level of organisation is important.

Responsibilities

*Bullet* Organising regular write-offs, taking account of varied time zones.
*Bullet* Keeping track of word count progress during the write-offs
*Bullet* Fostering a sense of team spirit and group cohesion
*Bullet* Alerting the group to planned write-ins by group email

Word Count Clerk

By liasing with the Username Clerk and the Prize Officer, this person would be responsible for discovering and keeping accurate records of each member's weekly word count and whether they have reached the target count for the weekly bonus.

Level of Commitment

This role requires weekly commitment during November and the start of December. A prompt and accurate record updated weekly is beneficial to all.

Responsibilities

*Bullet*Maintaining a database or other record of members' weekly word counts
*Bullet*Verifying weekly word counts against NaNoWriMo profiles
*Bullet*Informing the Prize Officer of who achieved their weekly target word count and completed NaNoWriMo
*Bullet*Checking that all winning novels have been verified on the official site

Gift Point Secretary

During the course of a year, the group amasses and utilises a large number of gift points. This person would be responsible for monitoring the gift point log and calculating the budget for prizes, advertising and so forth.

Level of Commitment

This is a role which is on-going, as the gift point fund alters depending on new applications to the group or expenditure on BidClick advertising and so forth. It is particularly essential near the end of November when prize values need to be finalised.

Responsibilities

*Bullet*Calculating the budget for each prize
*Bullet*Estimating the probable number of weekly bonus winners
*Bullet*Informing the Prize Officer of the value of contest prizes
*Bullet*Monitoring BidClick expenditure


Proof Reader

Every year, all the relevant group documentation requires updating to reflect the new dates and rules. It is impossible for one person to be certain that this has been done correctly, so a proof-reader is very useful.

Level of Commitment

This is a role which is on-going, but particularly comes into force during September and October when the group is updated to reflect the new year. There is little to do once NaNoWriMo has begun.

Responsibilities

*Bullet*Checking all relevant documents have the correct year
*Bullet*Ensuring that message forums have been purged by October 1st
*Bullet*Checking for spelling and grammar mistakes (keep in mind British/American variations)
*Bullet*Checking for broken links


Group Artist

In order to publicise the group it is very helpful to have a stock of signature images and banners which people can post all over the site. These need to change every year and can reflect a theme or idea.

Level of Committment

This role is most important during the lead-up to NaNoWriMo and it is helpful to have a fairly large stock of images for group members to choose from. It is beneficial for this person to have an Upgraded membership so that they can host the images themselves, but it is not vital as alternative arrangements can be made.

Responsibilities

*Bullet*Creating new signature images
*Bullet*Creating new banners
*Bullet*Modifying old images to reflect new year and new aims
*Bullet*Sharing images with the group
