Friend of the Academy (FOTA): This letter is merely a formal welcome for an activity that you have been working on for some time now: "The Academy News". The Reporters have created the stories. The Page Editors have reviewed, researched, fact-checked, and edited the copy. The Editorial Review Board (ERB) is currently making their official recommendations on the several pages of our Newspaper's Premiere Edition, which is set for publication on September 1st, 2007. There are only three actions the ERB may take on each page: 1. Approve, and forward the page into the Publication Group's folder, or 2. Return the page to the Page Editor for Review/Revision (The Publications Group will NOT see returned pages) for resubmission to the ERB, or 3. Reject the Page, or any part of the page, as notated and amended within the page you will see. The Publications Group will see all rejected pages. You may over-ride any page determination submitted by the ERB as a group, based upon qualitative/quantitative measurements as defined by the Publisher. (The Publisher's "First Rule" is that only pages "Final" are published, period. )Such actions, however, should be extremely rare, abundantly documented, and readily defended. Only in the most extreme cases should this privilege be used. A simple majority of the Group's members is required for an override to take place. You will see all approved pages, and all rejected pages. Your decision on each page is final. You may speak with any employee of "The Academy News" as you deliberate the final disposition of each page for the current issue. Any rejected or returned page SHOULD be (but is not required to be) permitted to be re-submitted within the deadlines set by either the ERB or this group. The Final Publication Deadline, however, must be met by all groups, regardless of any page's status. As a result of these three limitations, the pages you see will be the pages which must be reviewed for overall placement within the Newsletter. While we have over 20 pages active for each Edition, some pages may be deemed either inappropriate for particular issue considerations, or not ready for publication on quality or some other determination basis. If the ERB forwards a page to your consideration, it is for final approval for publication. That is this group's task. Each page must be linked correctly to the Front Page after your considerations of context, presentation, composition and balance. When you feel the page is "publication - ready", you are to so inform The ERB Representative to this group, The Individual Page Editor, and the Publisher . Simply adding the word "Final" to the Page Title will be sufficient. How you make that determination is entirely up to your group's decision. Managing Editor works with Section Editors to finalize their pages with suggestions of review team. Pages are joined to Sections, Sections are closed one at a time. Closed Sections are reported to Web Manager as Publication ready--AFTER all awards have been processed onto the pages, and plaque information forwarded to the Publisher, and Webpage Manager {Graphics Artist for the newspaper). Any issues of copy, edit, composition, balance, presentation, graphics, images, etc. are to be determined/resolved by this group in whatever manner the group determines works best. The Newspaper, bundled into Sections, is closed and "Final!" by agreement of the entire PPG Group. Pages are moved (FOR THE PREMIERE ISSUE ONLY!) to the current pages files when determined "FINAL!" Web Manager, Web Consultant, A-1 Academy CEO, and Publisher are notified via email that the edition is "Publication Ready". Web Manager coordinates the Front Page activities, joining pages to the Web page, with the assistance of the Web Designer/Consultant. Web Manager/Web Designer report to the Publisher the Premiere Edition is Published to the Front Page, and is ready for release. Publisher notifies Managing Editor and Subscriptions Manager with link to web page. subscriptions manager prepares email notification to subscribers, pending release by Publisher on Publication Date. Any browzer, ISP, or connectivity issues testing must be done prior to publication date. All subscribers, regardless of membership level, must be able to access all pages, including the Front Page. This must be tested prior to live publication. PPG is the test group for this activity. Should include members of production and Editorial Review Board Groups for test if possible. Bud or Shelley have list for inclusion of test if necessary Test complete? Publication is "put to bed", and released on Publication date as close to 0001 as possible. PPG prepares, as a group, an Edition Report. Just needs to highlight process used, issues, suggestions, concerns, problems encountered and solutions found, etc. Anything to help the future edition publication. Submit to Bud. PPG job is complete until November 1, 2007 when the Second Edition of 'The Academy News" comes to edit deadline. Publication Date for the second edition is December 1st, 2007. Edition deadlines are a bit earlier, to allow for the Thanksgiving Holiday. Completed Pages (Approved - Final) are to be stored in the "Next Issue" Folder (Your control only) until just before the next issue release date, once your approval is final. The Publisher and his team will then move all current issue pages to the "Previous Issue" folder (Your control only), and re-load the "Current Issues" folder with the new approved pages. The older Previous Issue pages will then be archived for permanent storage. The "Next" Issue Pages will be refreshed, and ready for new copy. The process will repeat. Until four editions have been published, this process will be incomplete. This would allow the publisher, Web Manager, and Web Designer sufficient time to prepare our Premiere Issue in it's best possible light. Hopefully, their work will be minimal, as they are paid consultantts with many other important projects on-going. They are employees/ of, or consultants to, "The Academy News", for the purposes of our publications. They just also happen to be incredibly scheduled people.
