Volunteer Schedule for WDC's 11th Birthday Ice Cream Social Event

Updating the Board

Update the board at least once during your shift.  The number of times will depend on how many messages are in the forum.  It makes it much easier for the visitor to donate or bid when he or she sees everything updated on the Auction Page.  Leave a Message in the forum each time you update the Board.  It's nice to say "Thank You" in some form or another, then include "Board Updated."

I've broken shifts down so that volunteers can sign up for times they will be available.  Please feel free to sign up for more than one shift if you are able to.  We have 32  slots to fill.  (TWO volunteers per shift for an entire week.  We will need TWO volunteers for each shift for all four weeks.)  Updating the Board will only take a few minutes every couple of hours.  Having a two-member team will better ensure that the board will be attended to regularly. 

During the first two to three weeks, the volunteer will be adding package donations to the Board and GP donations along with Donors and amount of Donations.  I will be also adding any GP donors that come to me through my e-mail.  Optional:  If the volunteer wishes to send the qualifying donors a Fundraising Merit Badge, just be sure to mark it on the donor list as "Merit Badge Given."  Otherwise, I wil handle the Merit Badges.

Bidding will start on September 1st, even though packages will, hopefully, still be coming in.  It is important to keep the board as updated as we can to avoid confusion for the bidders.  Remember to thanks them and then add "Board Updated." 

To simplify things a bit, I have changed the schedules to a) from midnght to noon and b) from noon to midnight.  I tried to merge the old schedule into the new one.  However, please feel free to make changes in your volunteer times. 

If possible, please consider signing up for at least one week of shifts.  We certainly understand if you can't, but we'll need everyone who's available.  I'll be out of town this coming Friday through Sunday, and won't be available until Monday.  Other than those 3 days, I should be able to plug my name in wherever needed.  I'm going to leave the slots open to you all first.  (My preference is Noon to Midnight)

Remember:  Joy, Missy, and Kilpikonna will be running the "Flavor of the Day" Contest and the Raffle, so I'm not sure how many shifts they'll be able to do.  . 

P.S.  Please be kind to me if I jumbled your schedule up.  It wasn't on purpose.  We went from 6-hour shifts to 12-hour shifts.  So, feel free to edit the page and put your name beside whichever and however many shifts you would like to take!    And if I goofed up something--well, you know the whole story behind the 3 brain cells.  Just fix it or let me know, and I'll fix it.  Mary, Tyler, and Moore will just have to understand their shortcomings.

Thank you in advance for all your hard work because we know that you are all dedicated.  Joy, Lornda, and I have no doubt that  
whatever level of involvement you are able to commit to will be your best.  I can't remember a time when any one of you didn't give your best.

Joy and I will be sending letters out to the winning bidders and the package donors.  We will continue to update the Auction Page with "PAID,"  or "FULFILLED."  This is a vital part of the auction.  It's our job, as host, to ensure that all bids are paid, all packages are filled, and all proceeds are dispersed to the various groups.
